Hi all.

I would like to ask if anyone knows a way to control the number of licenses that have been consumed on Invoices (number of interpreted invoices). We have a temporary (yearly) license, and have been said that the check must be done through the process log... which is really complicated, and risky as the log contains just some days. There must be any easier way to control.

Hi Ignacio,

In the Invoices module, our licenses are on a per user basis.  Once in Process Director (Invoice Cockpit) the licenses are on a number of transactions basis.

Are you looking for the number of transactions in the ERP?

If so, and you are on SAP, then you can see the number of transactions from Process Director > Extras > Info > Licenses.  Here you can see how many transactions are consumed for the current license period and your licensed amount.

If you need a historical perspective of how many transactions, then use SE16 for table /cockpit/thdr.  Put in a date range and use the 'Number of Entries' function.

As far as I know, there are two counters that I have to check, one of them is the number of interpreted invoices, the other one is the number of invoices arrived to cockpit. The cockpit side is clear, as you said it's easy to check with Process Director > Extras > Info > Licenses. The problem is to check the number of interpreted invoices. We used to have a dongle based license for interpret, where a counter could be checked. Last year we moved to a time based license that must be renewed every year, then we've lost the good old dongle counter.

Example:
Imagine you have a headroom for 100 interpreted invoices during this year and 100 in cockpit. You scan 50 invoices and reject them for any reason on Verify, then rescan and verify them. You've consumed 100 licenses on interpret, and just 50 on cockpit. As I said the counters are different. Then what I'm trying to find is how to check that I've consumed my 100 invoices on interpret. There's a warning when you consume 70% of your licenses, and another one on 90%, I think both of them will stop interpret service. What I would like is to be able to check the consumed licenses every month to be able to forecast if I will need more licenses for the current year before being advised by the warnings. There must be a counter anywhere, maybe on the sql database, but I can't find it.

Hi Ignacio

As mentioned, we don't need to perform a transaction count in the Invoices module.  If I ever need to check the status of our licenses, I go to Flexm (lmtools.exe) and click on the Server Status tab.  Then I select Perform Status Inquiry.
Does this return the number of transactions for you?

Thanks again for the reply.

Flexlm is returning the number of licenses available for every module, which means the number of users that can open the module at the same time. That works also for me but is not what I'm searching. There is a volume of invoices that can be interpreted. Looking inside of license.dat file (the one you put in your globalpath) you will see the following lines:

# Below are INVOICES licenses --------------------------------------
...
# You have a document capacity of  XXX  thousand documents per year

This is what I mean. There is a volume of invoices that can be interpreted per year, but as far as I know there is no way to check how many invoices you've consumed along the year. There is just a warning system that lets you know when you've reached the 70% or 90%, but apparently there is no counter available that allows you to control every month to have a good forecasting. I guess there must be some kind of field (probably on the sql database) controlling this number, and that's what I would like to find, to be able to check the licenses we've consumed so far along this year.

Oh dear.  I was hoping the counter for transactions was available from in the Flexm application.  

I am not sure where it resides on the database server.

There was some discussion around the number of interpreted invoices yesterday in the Reporting thread.  Not sure if you saw it.
I realise Readsoft recommended to you to use the Process Log.  However the discussion in the thread might make using the Process Log a little easier.

Since INVOICE 5-8 SP2, you have this information in MANAGER, menu [Help\About INVOICES]

Hi. Only now I see I didn't reply (sorry).

Thanks for your answers, hopefully next year we will move ahead to 5-8 and my headaches calculating the consumed licenses will dissapear :-)
